Frequently Asked Questions - Close application
Once you are done filling in the application form and uploading all required documents, please CLOSE the application. Keep in mind that your application will only be considered if you close it!
Note that when you close your application you will no longer be able to make any changes to your data or what documents you submit. Your application will be completely closed.
We have created different templates that you can use for your application. These are the following:
- Undergraduate credit transfer applicants: Learning Agreement
- MA credit transfer applicants: Learning Agreement
Undergraduate and MA applicants: If you are applying for a credit transfer programme you will have to provide a Learning Agreement, which should be signed by the person responsible of the program you are applying to at the host university and also, by your academic coordinator at your home university.
If you can not provide this document, you have to at least provide a Pre-admission Letter singed by the person responsible of the program you are applying to at the host university where you would like to do your mobility.
However, if you are applying for a full degree program, then you will have to provide the Pre-admission letter from the host university where you would like to do your mobility. There is no template for the pre-admission letter. This letter has to state that, in case you would be granted the scholarship, the program, school or department, would admit you.
Who should sign what?
Each course/program offered (to be found in the academic offer of each university) should include the name and contact information of the person responsible for that program at the host university. That is the person who should sign the corresponding document you have to provide (that is, Learning Agreement, Pre-admission Letter, Research Plan or Working Plan, depending on the level of mobility you are applying for).
In order to be admitted in the program you would like to study at the host university, the corresponding school and/or department has to verify that you are a suitable candidate. Therefore, do not forget to attach your academic data (transcript of records and other relevant degrees) on that email to the program coordinator/contact person.
If you still have not received an answer from the person you contacted for at the host university for a “pre-admission letter” or “learning agreement”, make sure that you sent the email to the right person. Also make sure, that you sent enough information about your person: In order to be admitted in the program you would like to study, the corresponding school and/or department has to verify that you are a suitable candidate. Therefore, do not forget to attach your academic data (transcript of records and other relevant degrees) and your curriculum vitae on that email to the program coordinator/contact person. In case you sent the email to the right person with enough information, we recommend you to try to find out the telephone number of that person (in the directory of the university) in order to get in contact with him/her.
If you have tried to contact that person by all means (email and telephone) and you have not received an answer before the closing of the call, upload all required documents (if you still have not done so) even if you do not have the signature of the corresponding person. As probe of the effort you have made to get your Learning Agreement signed or your Preadmission Letter, you could also upload a copy of the email/s sent to the program coordinator/contact person requesting such documents. In any case, and once you have uploaded all required documents, don't forget to CLOSE your application.
